Adding Your First Client

1. To add a client select "Clients" from the sidebar and click "New Client".

2. Enter your client's email address.

The invoices you create will be sent to this email.

3. Enter client information

Your client's first name, last name, and the country where their company is registered will be asked.

4. Select whether you know your client's tax number

It’s okay if you don’t.

If you don’t know their tax number:

You can add your client by entering just their company’s name.

Your client will be prompted to provide any missing information during the payment process.

After completing the missing fields, they can proceed with the payment without waiting for verification to be completed. If verification fails, the payment will be refunded to your client.

If you check "Send notification email to...", your client will receive an email informing them that you have added them as a client at Ruul.

If you know their tax number:

Entering your client's tax number and completing the optional fields will speed up the verification process.

Note that the name of this unique identifier may vary based on the country where your client’s company is registered.

Examples:

  • 🇺🇸 EIN for companies registered in the USA

  • 🇨🇦 Business Number (BN) for companies registered in Canada

  • 🇪🇺 VAT ID for most companies registered in the European Union

    • If the company is not registered in the VIES system, Trade Registration Number is accepted.

  • 🇺🇦 USREOU Code for companies registered in Ukraine

  • 🇰🇷 BRN for companies registered in South Korea

  • 🇮🇳 GST Number for companies registered in India

If you check "Send notification email to...", your client will receive an email informing them that you have added them as a client at Ruul.

5. Continue invoicing while waiting for verification

Our compliance team will review the entered information. If everything is correct, your client will likely be verified within a few hours.

Keep in mind, you don't need to wait for your client to be verified to send invoices.
